Why This Role is Important to Us:

The Associate, Sales Distribution Operations position will serve as a subject-matter expert (SME) and be responsible for many of the day-to-day tasks supporting the operational and administrative functions, such as Broker Operations and Broker Support, that are essential to the operations and growth of the sales distribution channels across the entire CCA footprint. This includes the broker contracting / onboarding and Ready To Sell (RTS) processes, setup and maintenance of brokers in the broker compensation / commissions system and other systems / portals, processing of broker compensation / commissions, and managing inquiries from brokers, including escalations. This role will require much discretion in order to coordinate priorities, a solid understanding of various regulations, and skill in managing processes for multiple markets. The individual in this role will be expected to create and maintain scalable process and procedures relating to the aforementioned areas.

What You'll Be Doing:

The position will report to the Sr. Manager, Sales Distribution Operations. The Associate, Sales Distribution Operations will work with managers, product owners, and other team members from cross-functional business areas , supporting the operational functioning and growth of CCA's sales distribution channels across the entire CCA footprint.
  • Serve as the subject-matter expert (SME) and day-to-day lead for Broker Support, as well as the broker compensation / commissions system and other systems / portals
  • Devise methodologies to process broker contracts / onboarding forms and related documentation, setup brokers in the broker compensation / commissions system and other systems / portals and track / monitor all requirements for brokers to become Ready To Sell (RTS)
  • Conduct initial and ongoing validation, documentation, and tracking / monitoring of active health insurance producer licenses in the applicable states for agencies / entities, their brokers, and sales agents
  • Conduct initial and annual administration, documentation, and tracking / monitoring of CCA's agent certifications and other required trainings (i.e., AHIP, etc.) for brokers and sales agents
  • Devise processes to maintain accurate broker information in the broker compensation / commissions system and other systems / portals
  • Validate and process broker compensation / commissions while ensuring accurate and timely payments, in conjunction with Human Resources / Payroll.
  • Generate and distribute routine and ad-hoc reports (broker compensation / commissions reports, broker and sales agent Ready To Sell (RTS) reports, broker production / book of business reports, etc.) for internal and external stakeholders
  • Provide support to prospective and current brokers via e-mail and telephone correspondence by answering questions, researching, problem solving, and working with cross-functional business areas when necessary to resolve inquiries, including escalations, in a timely manner
  • Triage and reconcile completed paper / PDF enrollment forms submitted by brokers for their clients
  • Assist in maintaining internal Policy & Procedure documentation for the operational and administrative functions of CCA's sales distribution channels, including the Ready To Sell (RTS) process, etc., for brokers and sales agents
  • Submit producer appointments and renewals to state insurance departments, as applicable
  • Participate in workgroups and committees pertaining to CCA's sales distribution channels
  • Collaborate with cross-functional business areas and provide skill set when needed
  • Review and triage member plan change requests initiated through Member Services, Clinical, Onboarding, etc., in conjunction with the appropriate Sales team
  • Triage and document sales-related complaints and grievances
  • Track and document Field Sales observations
  • Consult with management as a key liaison on matters pertaining to the operational readiness of CCA's sales distribution channels for the Annual Election Period (AEP) and beyond
  • Handling of RFI apps (incomplete apps resulting in a request for more information)

What We're Looking For:

Education:
  • Associate degree required or equivelant experience, Bachelor's degree preferred
Experience:
  • Minimum of 3 years of relevant work experience required required.
  • Experience with sales distribution channels such as Field Marketing Organizations / FMOs, independent brokers, eBrokers, etc.,preferred
  • Experience with Medicare (CMS) and Medicaid, including sales / marketing, enrollment, and other regulatory compliance guidelines, preferred
  • Experience with broker compensation / commissions preferred
  • Experience working with Salesforce (CRM) preferred

  • Must be highly organized and self-directed with the ability to work under limited supervision

  • Must be able to navigate multiple different systems and databases simultaneously
  • Must be able to maintain up-to-date knowledge of federal and state regulatory compliance guidelines that govern sales / marketing and enrollment functions
  • Must be able to develop a proficient understanding of CCA's products and the Medicare market
  • Must be able to develop a proficient understanding of CCA's systems and how data and technology can be used to solve specific business problems
  • Must have the ability to learn new systems and databases that CCA implements
  • Must be proficient in the use of computers, specifically Microsoft Office suite (Excel, PowerPoint, Word) and Adobe Acrobat
